Build an acceptance plan around the proposed configuration

List the equipment model, options, product formats and operating tasks to be checked. Identify the documents or observations that will demonstrate each requirement, who will witness the test and how unresolved items will be recorded. A general statement that a machine works does not establish whether it meets a particular project brief.

The criteria should refer to the proposed configuration rather than a different demonstration unit. If an option cannot be shown, record it as unverified and agree what evidence is needed before the next commercial milestone.

For vending projects, use representative products with their final packaging dimensions and relevant handling characteristics. Observe loading, selection, release, collection and replenishment. Record unsuccessful cycles and any changes made during the test.

For service or preparation equipment, document the intended sequence from activation to completion, including the user's controls and the operator's routine tasks. Cleaning, water, temperature or other performance claims need evidence appropriate to the exact claim and model; a short promotional clip is not a substitute.

Agree how the proposed configuration handles cancellation, missing products, interrupted service and communication loss. Record what the customer sees, what the operator can inspect and how an exception is resolved. Use an agreed test environment for payment checks rather than exposing real customer credentials.

Payment hardware alone does not establish merchant onboarding, settlement or refund support in the operating country. Identify which organisation is responsible for confirming the local payment arrangement and keep unresolved dependencies in the acceptance record.

Match the inspection record to the agreed equipment list, options, accessories and documents. Identify the unit, packing configuration, shipping dimensions and weights as actually measured for shipment. Record visible condition and exceptions before dispatch.

Clarify which party checks arrival condition and what evidence is required if damage or shortages are found. Freight planning should use the final packing information and agreed delivery terms, not dimensions or claims copied from another model.

A handover record should distinguish completed checks from open items. Attach or reference the specification version, test results, operating documentation and responsibility list used for that decision. Identify the acceptance authority and any agreed follow-up actions.
