Start with the issued supplies and access policy

Identify the packaged items employees need to collect: protective equipment, consumables or other approved supplies. Record the actual packaging dimensions, weight and storage conditions. Separate a controlled-issue project from a retail sale, and describe the shift pattern and the locations at which staff need access.

Write down the intended rules for issue quantities and exceptions before asking for software options. The site’s responsible team decides which supplies are appropriate for a task. A dispensing machine does not select protective equipment for a hazard or replace the employer’s own assessment.

Verify identification, permissions and records

Describe the proposed badge, code or account method and identify the existing system owner. Ask the supplier to demonstrate how a user receives permission, what happens when access is removed and how an authorised exception is recorded. Test representative non-personal accounts before considering a live connection.

Request a sample issue log showing the fields the site actually needs, such as item, quantity, location and timestamp. Agree access and export responsibilities. A badge-reader option does not establish compatibility with an existing access-control, inventory or purchasing system.

Plan replenishment across shifts

Name the party responsible for stock ownership, replenishment, minimum-stock review and failed-issue support. In a distributor-managed arrangement, separate equipment maintenance from the supply service, and agree who approves substitute items. Clarify who can open the cabinet and how stock discrepancies are investigated.

Map the route used for delivery and servicing without interrupting normal site work. Review the proposed installation with the facility team, including power, connectivity and environmental conditions. Ask for the offered configuration’s limits rather than assuming every enclosure suits a workshop or production area.

Use a pilot to test the service arrangement

Choose representative packages and users for an agreed pilot. Follow an authorised issue, a denied issue and a stock-out case through the machine indication and operator records. Use an agreed procedure to examine connection loss or other exceptions, and identify how staff obtain needed supplies while a machine is unavailable.

Compare observations with the stated issue policy and service responsibilities before extending the project to more shifts or locations.
