PPE Vending: Employee Access & Issue Controls
Define PPE vending access rules and test authorised collection, denied access, issue limits, role changes and the operator’s records.
Define who may collect which items
List the employee groups, consumables and access rules required at the site. Distinguish an unrestricted collection point from a controlled issue process. Identify who approves access and who maintains the relationship between a worker, role and permitted items.
Keep the operational rule separate from the technology used to identify a person. A badge reader does not by itself establish the quota, authorisation or record-keeping behaviour needed for the proposed PPE distribution process.
Test normal and exceptional access
Describe the expected result for an authorised user, an unknown credential, an expired entitlement and a requested quantity outside the agreed allowance. Include relevant shift or role changes and an interrupted collection in the acceptance plan.
Ask which cases the proposed system supports and what the local administrator sees. Record cases that cannot be demonstrated. Do not assume that a feature shown on another system is included in the quoted machine or software configuration.
Assign administration and replenishment
Name the team responsible for employee access changes, inventory, exception approval and local service. Clarify whether a supervisor can resolve an issue at the machine or needs a separate system account. Keep emergency and exceptional access rules within the site's own approved operating arrangements.
Review the information retained for each collection and the permissions needed to view or export it. Use test identities for demonstrations and avoid sending employee records or credentials in an initial equipment discussion.
Agree the evidence for acceptance
Use a test matrix linking each access rule to its expected result, observed result and supporting record. Include the effect of a role change and the records available for investigating an unsuccessful issue.
Share the country, consumable list, employee groups and desired access method on WhatsApp. The next step is a configuration review, not confirmation that the system meets every workplace policy or already integrates with the site's identity platform.
