Plan cosmetic vending replenishment with compartment records, stock rotation, product checks, exception handling and refill access.
Assign stock ownership and product checks
Name the party that purchases products and the person authorised to load them. Keep product-source records and the packaging information needed for the operator’s own checks. Identify who reviews product dates, product-specific storage instructions and any required action on damaged or withdrawn stock.
An equipment supplier’s replenishment demonstration does not establish the authenticity, sale eligibility or storage suitability of goods supplied by another party.
Prepare a compartment-level refill record
Record the product and package assigned to each compartment, the quantity loaded and the refill date. Separate sales, removed stock and damaged stock when comparing the physical count with the available machine record. Ask which inventory functions are actually included in the proposed software.
Use the tested package and loading arrangement. If packaging changes, return it to a fit review instead of assuming the same product name means the same mechanical behaviour.
Define the response to stock and storage exceptions
Agree who receives a low-stock or equipment alert, where that feature has been demonstrated, and who visits the machine. Keep a manual inspection responsibility for information the equipment does not provide. Ask the supplier how the offered configuration indicates an unavailable compartment or relevant fault.
Use the product owner’s documented requirements when deciding how to handle affected goods. Do not invent a universal storage threshold or reload stock solely because an alarm has cleared.
Plan access, records and replenishment cover
Agree refill access with the venue, including opening hours, key control and temporary cover when the usual operator is absent. Record the permitted cleaning and service tasks using the offered machine’s instructions. Keep exceptions linked to the date, compartment and responsible person.
Share the planned assortment, location and servicing arrangement on WhatsApp. A workable refill plan should explain who checks and acts, not simply assume every sale or product condition is monitored remotely.
