Define the ice route before asking for a price
Specify whether the project makes ice at the site, sells ice delivered in ready-packed units or involves another proposed handling sequence. Describe where the ice is produced, stored, bagged and released to the customer. The phrase bagged ice alone does not answer those questions.
Keep the equipment configuration, output format and responsibilities in the same proposal record. Comparing prices from different routes without identifying these differences can leave major equipment or operating tasks outside the apparent budget.
Separate equipment and destination work
Request the included machine, options, accessories and documentation. Add packing, transport, unloading and installation as separate lines with the party responsible for each. Review the site work against the actual model drawings and proposed operating route.
For an on-site production proposal, identify the water, power, drainage and local technical work that needs assessment. For a pre-packed route, identify delivery, storage and replenishment arrangements. Do not assume that an equipment quotation covers all destination work.
Use documented operating inputs
List consumables, utilities, product supply where applicable, replenishment, cleaning, payment services and maintenance. Record the unit, source, date and scope of each cost estimate. Distinguish operating assumptions from quoted supplier charges.
Use local trial observations to revise usage and servicing inputs. Do not convert a stated machine capacity into expected sales without accounting for the actual operating conditions, customer demand and responsibilities of the proposed site.
Keep uncertainty visible in the comparison
Compare the equipment and local work on an equivalent basis, leaving unknown inputs open. Show the effect of a lower-usage case or an additional service requirement using assumptions identified by the operator. Keep projected revenue separate from the acquisition cost.
