Compare the complete selection process

For a reward programme, describe how a reader earns access, receives a token or code, chooses a book and obtains help. For paid sales, describe how a customer sees the price, pays and collects the book. Keep these two journeys separate when asking a supplier to demonstrate a configuration.

Define who controls access and exceptions

Identify the staff member who issues rewards and the operator responsible for prices, payment accounts and customer support. Ask how cancelled rewards, failed releases and duplicate attempts are handled in the proposed mode. Use non-personal demonstration records when testing any account-based feature.

If a school system is involved, request a review by its system owner. Do not assume that a badge or code reader connects to an existing pupil record or payment balance.

Test the books in both proposed modes

Use representative books with the intended covers, thicknesses and packaging. Observe selection, release and collection under each mode you intend to buy. Record the exact configuration and any staff intervention.

A successful token demonstration does not verify payment processing, and a paid sale does not verify reward-allocation rules. Keep unresolved functions in the acceptance record rather than treating one demonstration as proof of both.

Compare the operating responsibilities

List stock ownership, replenishment, title changes, programme administration and payment-service responsibilities for each option. Ask for separate scope and cost items where changing modes introduces additional equipment or service work.
