Paid Book Sales or Reading Rewards
Choose the school programme before choosing the machine. Paid book sales require a purchase and payment process. A reading-reward programme requires a clear decision about who earns a book, how that entitlement is issued and how it is redeemed. The two programmes should not be treated as the same configuration.
Describe the expected users and who administers the programme. If both paid and reward use are required, ask for a demonstration of the proposed combined workflow rather than assuming it exists. This sourcing brief covers dispensing books. Library loans, returns, borrowing accounts and inventory reconciliation for a lending system are a separate project scope.

Book Size, Capacity & Dispensing Tests
Prepare a representative book list with height, width, thickness and cover type. Include the largest, smallest and least rigid books expected in the programme. A total-capacity number is not enough to show whether the intended titles will fit and dispense reliably.
Ask the supplier to test representative physical samples using the proposed dispensing mechanism and loading arrangement. The test record should identify the books, settings and outcomes, including handling a failed vend. Request a configuration drawing showing the supported book positions and service access. Do not convert a photograph of a different book assortment into a capacity promise for your school.

Tokens, Points & Access Rules
Write the reward rules in plain language: who authorises a reward, what the student receives, when it can be redeemed and how staff resolve a lost token or failed selection. If a physical token is proposed, request its specification and a demonstration with the selected machine.
Points integration requires a separate review of the school's system, permissions, data exchange and support responsibility. We have not verified an existing integration or a universal token format. Keep student identifiers and other personal information out of an initial enquiry; describe the workflow without sending a student list. Only include a system feature in the purchase scope after the relevant parties have demonstrated and accepted it.

School Placement & Restocking
Identify the proposed indoor location, access route and staff member responsible for replenishment. Send the available space and relevant site photographs, avoiding identifiable children or personal records. Review doorways, circulation and access to the machine's loading and service areas with the school.
Ask for model-specific installation and anti-tip requirements, then obtain the school's facilities approval before placing the equipment. Define who selects the book assortment, tracks remaining stock and deals with a failed dispensing attempt. The restocking plan should match the actual programme and staff availability. A suitable-looking location is not a substitute for the school's placement and installation review.

Configuration & Procurement Documents
Separate the quotation into the equipment configuration, dispensing arrangement, payment or reward mode, artwork, packaging, transport and installation responsibilities. Provide the school's required procurement documents early so that missing information can be identified before an order is discussed.
Request the test record for your book samples, operating instructions, installation requirements and the support process. Custom graphics need approved artwork and permission to use any school or programme marks. Software work and personal-data access must have a defined scope and responsible party. No verified book-machine supply package has been established by this page; supplier selection and capability checks are still part of the review.

Send Your School Book List
Send the country, number of schools or locations, intended quantity and target purchasing period. Explain whether the programme uses paid sales, physical rewards or a proposed points connection. Share your book dimensions on WhatsApp and describe how staff issue rewards and replenish books.
If the school has not yet approved a location or programme, identify the decision that remains open. The next step is to compare the requirements with a supplier's demonstrable dispensing and access workflow. We can use the brief to organise the assessment, but it is not a stock reservation, a software-integration commitment or confirmation that the machine has been approved for a school.
