Define the learning or reward programme

Start with the school’s intended activity: distributing books, redeeming reward tokens or offering an approved packaged product. Identify the age group, the staff member responsible and whether selection takes place during supervised hours. Review the location with the school

Give the school the proposed dimensions, door-opening space and replenishment access requirements. Ask its responsible facilities team to review placement, fixing, power, connectivity and access during the intended operating hours. Record any change needed before the equipment is accepted for that position.

Consider how pupils approach, select and collect an item and how staff help when a cycle fails. Keep installation and fixing decisions with the responsible supplier and site specialists. Separate reward access from personal data

Describe whether the programme needs tokens, codes, cards or staff-controlled access. Ask the proposed supplier to demonstrate the selected method and clarify whether individual pupil records are needed at all. Record the information collected, who can access it and who can remove or export it.

Use demonstration accounts or non-personal sample records for evaluation. Request the school’s own review before connecting pupil identities or an existing school system. A card reader or software screen is not evidence that the equipment already integrates with the school’s account system.

Prepare procurement and a supervised trial

Prepare a comparison covering equipment configuration, delivery, installation responsibilities, sample-book tests, staff training, maintenance and support arrangements. Keep promised documents and demonstrated functions separate. Ask for evidence tied to the offered version rather than a general statement about similar equipment.

Agree a supervised trial with representative books and the intended reward process. Record unsuccessful releases, staff intervention and how stock is replenished.
