Set the equipment boundary before comparing prices

Start with the owner-operated wash configuration and the items included in the equipment proposal. Record the model, options, payment arrangement, accessories and document version. Keep the equipment line separate from services or materials supplied by local contractors.

Compare proposals on the same boundary. A cabinet price does not describe an installed wash area, and a retail price in another market is not evidence of the margin available to your project. Unknown costs should remain open items rather than being entered as zero.

Obtain a site-specific installation estimate

Use the proposed location and model drawings to identify access preparation, fixing, power, water, drainage and any hot-water arrangements needing review. Name the party responsible for each item and ask the installer to state what is included and excluded.

Build an operating worksheet from local inputs

List the products and consumables intended for the configuration, cleaning and replenishment work, utilities, payment charges, software services and maintenance arrangements. Identify the unit, source and date of each input. Distinguish costs that continue while the station is idle from those associated with completed sessions.

Use observations from a trial to revise the worksheet. Do not substitute an assumed number of daily washes for evidence from the proposed location or omit local labour simply because the customer performs the washing.

Request a comparable scope

Discuss the country, site type, quantity plan and intended customer workflow on WhatsApp. Identify which budget lines already have local estimates and which need clarification from the proposed supplier.
