Identify the account and contracting parties

Ask which organisation provides each software service and which organisation holds the operator account. Separate the machine purchase from licences, hosting, payment services and any custom development. Identify who can grant, change or remove access.

Make data access a demonstrable requirement

Record licence renewal, support, hosting and update conditions. Ask which functions depend on an active subscription and how configuration or compatibility changes are communicated. Keep ongoing charges separate from any one-time software setup or development fee.

Plan for termination and handover

Discuss how access, exports, configuration and equipment operation are handled when a service ends or the operator changes supplier. Identify the notice, assistance, costs and limitations in the proposed agreement. Request a documented handover sequence for the functions essential to the project.
